Sequoia Valley Farms is committed to protecting your privacy and handling your personal information openly and securely. This policy explains what we collect, why, how we use and store it, and how you can access or correct it.

We handle personal information in line with the Australian Privacy Principles (APPs) in the Privacy Act 1988 (Cth). You can read the APPs at the Office of the Australian Information Commissioner, oaic.gov.au.

What personal information we collect

Personal information is information that identifies you. What we collect may include your name, billing and delivery address, email address, phone number, order and enquiry details, and limited payment information. We do not store full card numbers — payments are processed securely by our third-party payment providers. When you browse the site, we also collect some usage information automatically through cookies and analytics (see below).

How we collect it

We collect personal information directly from you — when you place an order, create an account, use our contact form, subscribe to our list, or correspond with us — and automatically through cookies when you use the site. Occasionally we may receive information from a third party, such as a delivery partner; where that happens we take reasonable steps to make you aware of it.

Why we collect and use it

We use your personal information to process and fulfil your orders; to source, consolidate and coordinate the delivery of your plants; to respond to enquiries; to manage your account; to send marketing communications where you have opted in; to improve our website and service; and to meet our legal and tax obligations. We may also use it for related purposes you would reasonably expect.

Marketing and opt-out

If you have opted in, we may contact you by email or SMS with news, seasonal releases and offers. You can opt out at any time — use the unsubscribe link in any email, reply STOP to an SMS, or contact us — and we will action your request promptly.

Disclosure of your information

We may share your personal information with service providers who help us operate — including payment processors, delivery and freight carriers, our email and SMS marketing platform, and our website hosting, content-delivery and IT providers — and only so they can perform those services. We may also disclose information where required or authorised by law. We do not sell your personal information.

Some of these providers store or process data on servers located outside Australia, including in the United States. Where that is the case, we take reasonable steps to ensure your information continues to be handled consistently with the APPs.

Cookies and analytics

Cookies are small files stored on your device that help the website work and help us understand how it is used. We use essential cookies (needed for the cart, checkout and security), functional cookies (to remember preferences), and analytics cookies (to measure and improve performance). You can control or delete cookies in your browser settings, though some features may not work without them.

Security and retention

We store your personal information in a way that reasonably protects it from misuse, loss and unauthorised access. We keep order and account records for up to seven years to meet our legal, tax and business-record obligations, after which we take reasonable steps to securely delete or de-identify them.

Sensitive information

We do not generally collect sensitive information (such as health, racial or political information). If we ever need to, we will only do so with your consent or where required or authorised by law, and use it only for the purpose for which it was provided.

Accessing and correcting your information

You can ask to access the personal information we hold about you, and to have it corrected if it is inaccurate or out of date. Please contact us in writing. We may need to verify your identity first. There is no fee to request access, though we may charge a reasonable administrative fee for providing copies.

Complaints and enquiries

If you have a question or complaint about how we handle your personal information, please contact us using the details below and we will respond. If you are not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

We may update this policy from time to time. The current version is always available on this page.
